Hiring Agency General Government Cabinet | Secretary of State Location State Capitol Bldg, 700 Capita Suite 152 Frankfort, KY 40601 USA Description The Office of the Secretary of State is a constitutional office within the General Government Cabinet of the Commonwealth of Kentucky. The office serves as the Commonwealth's Chief Election Officer, Chief Business Official, and Chief Advocate for civic engagement. There are three offices within the department: Office of Administration, Office of Business Services and Office of Elections. This Administrative Specialist Senior position is within the Office of Business Services, Filings Section. Job responsibilities include, but are not limited to, the following:
  • Receives, reviews, and processes a high volume of complex, compound, and interdependent filing activities, specifically including requests for certified copies, annual reports, reinstatement applications, and replacement certificates of authority; evaluates procedures and provides recommendations for improving efficiencies, suggests revisions to official forms to align with KRS Chapter 14A.
  • Plans, organizes, supervises, and checks the work of colleagues assisting in the processing and filing of requests for certified copies, annual reports, reinstatement applications, replacement certificates of authority and notices of revocations and dissolutions.
  • Supervises and recommends policy to reduce costs and wasted time involved in certified copy, annual report, reinstatement and replacement certificates of authority procedures, compiles statistics, and drafts reports for executive leadership.
  • Attends collaboration meetings with IT staff and other agencies to assist in the performance of these duties.
  • Recommends policy and determinations on fiscal, personnel, and budgetary matters relating to certified copies, annual reports, reinstatement applications, and replacement certificates of authority.
  • Interprets departmental policy to the public, including members of the business community and departmental employees.
  • Supports Business Records section during staffing shortages and heavy volume to assist with record requests, UCC filings, apostilles, notary public applications, trademark applications, and related issues.
  • Performs other duties as assigned.

Minimum Requirements EDUCATION: Graduate of a college or university with a bachelor's degree. EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience. Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.
