Position Summary:
 
Reporting to the Director of Planned Giving, the Estate & Planned Giving Manager (“Manager”) actively manages the estate administration process, as well as maintaining the data integrity, information flow, reporting, and tracking functions of a comprehensive and mature planned giving program.
Utilizing a team approach, the Manager serves as a technical partner to planned giving, finance, and gift processing staff when working with prospects/donors and their professional advisors to generate planned gifts that achieve the donor’s objectives as well as securing the future financial success of the organization. 
 
Essential Functions:
Estate Administration ( 40%)
 
With oversight from the Director of Planned Giving, the Manager is responsible for the day-to-day estate administration process for routine gifts and realized distributions. The Manager:

  • Partners with The Trust for Public Land’s Finance Department and with Kaspick, the company that administers Trust for Public Land’s Life Income Program, in ensuring seamless distributions of remainder interests to fund TPL priorities
  • Tracks open estates and facilitates paperwork necessary to distribute funds in accordance with donors’ philanthropic wishes and TPL policies
  • Communicates regularly and effectively with personal representatives and others involved in the administration of the donors’ estates
  • Drafts routine correspondence related to estate administration for the Director’s signature.
  • Ensures compliance with TPL policies and procedures and external (donor/legal/IRS) requirements; remains alert to ethical compliance issues or matters that need to be escalated to the Director’s attention.

 
Within the Office of Planned Giving (60%)

  • Acts as the first point of contact for the Office of Planned Giving and as the Office Manager
  • Effectively manages the tracking and capture of planned giving collaborative workflow critical to the efficient processing of new and realized planned gifts through the use of Airtable project management system and Clearview, our CRM
  • Responsible for tracking and generating routine reports that benchmark to planned giving program metrics
  • Responsible for generating donor acknowledgment & receipts for new and realized planned gifts
  • The Manager serves as a point of contact with TIAA Kaspick, the financial institution that manages Trust for Public Land’s life income gifts and provides donor information, as required.
  • Develops and maintains strong collaborative working relationships within the Philanthropy Department and with all levels of staff across departments within Trust for Public Land
  • Demonstrates basic knowledge of charitable gift planning concepts. Through coursework, professional development, and other sources, the Manager will remain current on emerging trends and in technical knowledge in the area.
     
    Qualifications:
  • Minimum of 3-5 years direct experience in planned giving estate & trust administration for a 501(c)(3) nonprofit organization preferred. Experience in a related field (such as paralegal in estates and trusts law firm, or within the trusts department of a financial institution or within the finance office of non-profit) will be favorably considered.
  • Demonstrated track record of consistently accurate work product with a high level of attention to detail
  • Working knowledge and familiarity with planned giving concepts and the various vehicles including bequests, beneficiary designations, charitable gift annuities and charitable remainder trusts
  • Excellent verbal and written communication skills
  • Self-motivated individual with demonstrated ability to work independently and as part of a team
  • Ability to perform successfully and thrive within a geographically remote reporting structure
  • Ability to inspire, motivate and marshal institutional resources
  • Proficiency with learning and utilizing various operating systems, such as Word, Excel, PowerPoint, Microsoft Teams, PG Calc or Crescendo, and familiarity with one or more CRM tracking systems
  • Bachelor’s degree preferred

Compensation:

Trust for Public Land is a hybrid work environment, and this role will ideally be located near a Trust for Public Land office in Atlanta, GA; Washington, DC; or New York City. Estates & Planned Giving Manager will be expected to work a 3/2 schedule (3 days from home office and 2 days in a TPL Office – DC, NY, ATL) As a full-time employee, you will be eligible for the Trust for Public Land’s comprehensive benefits program which includes medical, dental, and vision insurance, vacation and sick pay plus holidays, a year end office closure, and a 403(b)-retirement plan, currently with up to a 7% company match. We offer competitive salaries commensurate with experience; the anticipated hiring range for this position is $80000-90000. In addition, Trust for Public Land offers locality pay to eligible regular employees in select geographic areas.
