The Executive Assistant & Analyst (EAA) will manage the executive calendar(s), plan and assist with projects for the business, ensure efficient use of executives' time, and collaborate closely with colleagues to ensure a fluid work environment within the office. The EAA will also perform research and analysis to support efficiency and productivity. The ideal candidate will be a detailed planner, expert communicator, and top-notch analyst.
Duties & Responsibilities:
Executive Assistant and Analyst -
- Maintains executive calendar(s) and makes all necessary arrangements for appointments and travel.
- Develops and maintains reports (including expense reports), databases, presentations, spreadsheets and/or files as appropriate and required.
- Identifies new ways to add value & proactively takes on new tasks to help the executive be more productive.
- Uses expert level PowerPoint skills to prepare presentation materials for high-level internal and external executive meetings
- Provides support in preparing for departmental activities (high-level executive and management on-site and off-site meetings, telephone and video conferences, internal and external presentations), including scheduling, set-up, preparation including meeting packages etc.
- Provides administrative support for the executive(s). This may include typing, mailing, emailing, copying and other essential administrative duties.
- Maintains a wide variety of paper and electronic department files, records, and reports.
- Carries out special projects as assigned; projects may include researching, gathering, compiling, analyzing, and presenting data.
- Assists executives with driving awareness of requirements across business units and identifying substandard systems processes through compilation and evaluation of real-time data.
- Performs other duties as assigned.
Requirements, Competencies and Certifications:
- Excellent verbal and written communication skills.

- Excellent time management skills with a proven ability to meet deadlines.
- Strong organizational skills to proactively balance multiple high-priority requests concurrently and ability to work independently in a demanding, changing environment.
- Effective interpersonal and excellent communication skills - confident, organized, and clear
- Adapts easily to process changes and learns new technologies quickly.
- Administrative support experience.
- Experience in analytics and systems development.
- Commitment to customer service and ability to work in team-oriented environment tied to solid judgment, decision making and problem solving skills.
- Demonstrated ability to handle information in a confidential manner.
- Ability to handle multiple tasks and priorities in a fast-paced environment while using sound judgment in carrying out duties.
- Proficient with Microsoft Office Suite or related software.
- Proven analytical abilities.
- Experience in generating process documentation and reports.
- Excellent communication skills, with an ability to translate data into actionable insights.
- Highly responsive, flexible and adaptable

Minimum Education & Preferred Experience:
- Strong interpersonal skills necessary to effectively address sensitive and confidential information by telephone, in writing, and in face-to-face contacts with the public and associates at all levels.
- Advanced knowledge of MS Outlook.
- Intermediate to advanced knowledge of MS Office (word/excel/PowerPoint).
- Bachelor's degree (or equivalent) in financial analysis, information technology, or computer science.
- Strong working knowledge of relevant Microsoft applications, including Visio.
- Experience with data visualization.
