Position Description

The purpose of this position is to provide responsible and specialized administrative support to the police department and assistance to the public. This position performs technical work that is accomplished by maintaining the police record management database, is responsible for the compliance with State and Federal reporting requirements, prepares and organizes documents for scanning/filing and invoicing, assists officers with mobile field reporting issues, and communicates with officers and supervisors of missing reports and supporting documentation. Other duties include substituting for other administrative support personnel and fingerprinting.

Typical Tasks

  • Provides administrative and technical support related to the receipt, review, processing, retrieval, and storage of police records.
  • Reviews police reports for discrepancies, completeness, and errors per State and Federal requirements. This is completed by interpreting complex coding within the NC DMV 349 Manual & the National Incident Base Reporting Manual.
  • Updates reports in the Police Record Management System with specific documented revisions.
  • Notifies Officers and Supervisors of missing reports and documentation.
  • Performs data entry and imports data into the Police Record Management System.
  • Processes civil citations for accounts receivable.
  • Provides internal and external customer support via phone, mail, email & fax.
  • Performs other related duties as assigned.

Qualifications

Education and Experience:

High School diploma/GED or equivalent and one year of office administrative experience. Other Requirements:
  • Must obtain NCIC Module 1 Certification within 6 months of hire.
  • General knowledge of standard office procedures, equipment, and record management practices.
  • Strong customer service principles.
  • Proficiency in various computer systems and software applications.
  • Ability to correctly interpret and apply relevant State and Federal codes related to the processing of law enforcement documents.
  • Ability to exercise sound judgement and provide accurate information.
  • Ability to establish and maintain effective working relationships in an open and team-oriented environment.
  • Ability to accurately perform a considerable volume of detailed clerical work.
Notes : Criminal history check, driving history check, and background investigation are required. The selected candidate will also be required to pass a post-offer drug screen and polygraph examination. This position may be called upon in case of a disaster to serve the citizens of Wilmington, which may result in assignment of other duties.

PHYSICAL DEMANDS : Exerts up to 10 lbs. occasionally or negligible weights frequently; sitting most of the time. WORKING CONDITIONS : This position generally requires work indoors/office setting.
