Job Description

Job Title: Title Clerk

Pay: $18–$19 per hour

Hours: Monday–Friday, 8:00 a.m.–5:00 p.m.

Job Summary:

We are seeking an experienced Title Clerk to join our team. The ideal candidate will have prior automotive title and billing experience and be detail-oriented with strong organizational skills. This role is responsible for ensuring accuracy and compliance in all title transactions, postings, and related accounting processes.

Responsibilities:

  • Process and transfer vehicle titles and file liens in accordance with state regulations and DMV requirements
  • Send out contract packages and post fundings
  • Post reserves and deals to accounting
  • Balance and maintain schedules accurately
  • Ensure accuracy in lien releases, transfers, and related documentation
  • Maintain organized records and documentation for all title-related transactions
  • Communicate effectively with internal departments, customers, and outside agencies as needed

Requirements:

  • Automotive title and billing experience required
  • Reynolds & Reynolds software experience preferred
  • Strong knowledge of state regulations and DMV requirements for title processing
  • Proficiency in Outlook and general computer skills
  • Excellent attention to detail and organizational ability
  • Ability to work independently and meet deadlines

  • Notary certification preferred (not required)
  • National background check required

* Search real estate records, examine titles, or summarize pertinent legal or insurance documents or details for a variety of purposes. May compile lists of mortgages, contracts, and other instruments pertaining to titles by searching public and private records for law firms, real estate agencies, or title insurance companies.

* Examine documentation such as mortgages, liens, judgments, easements, plat books, maps, contracts, and agreements to verify factors such as properties' legal descriptions, ownership, or restrictions.

* Examine individual titles to determine if restrictions, such as delinquent taxes, will affect titles and limit property use.

* Prepare reports describing any title encumbrances encountered during searching activities and outlining actions needed to clear titles.

* Copy or summarize recorded documents, such as mortgages, trust deeds, and contracts, that affect property titles.

* Verify accuracy and completeness of land-related documents accepted for registration, preparing rejection notices when documents are not acceptable.

* Prepare lists of all legal instruments applying to a specific piece of land and the buildings on it.

* Read search requests to ascertain types of title evidence required and to obtain descriptions of properties and names of involved parties.

* Obtain maps or drawings delineating properties from company title plants, county surveyors, or assessors' offices.

* Confer with realtors, lending institution personnel, buyers, sellers, contractors, surveyors, and courthouse personnel to exchange title-related information or to resolve problems.
